Standard Operating Procedures (SOP)

A major initiative of The Division of Financial Operations (DFO) is to work with field and central offices to update and revise existing Standard Operating Procedures (SOP), as well as adding new titles reflecting current practices and policies established by the Department of Education (DOE). It is a requirement that schools and other DOE facilities implement all regulations contained in the SOP for the purpose of enhancing both the instructional and/or administrative programs at their respective sites.

ACCESSING SOP VOLUMES

Many DOE sites currently have one of two volumes of the previously issued Standard Operating Procedures Manual (SOPM). However, in order to eliminate paper as much as possible and to utilize current technology, DFO no longer provides hardcopies of revised or new SOP chapters. Instead, as new chapters are introduced or existing ones revised, they will be placed on DFO’s website. Staff may download and print the respective chapter placing it into their manual for future reference. If you are not in possession of the original manual issued, you may create one by using any suitable binder for this purpose; or may simply refer to the chapter online.

NOTIFICATION WHEN NEW/REVISED CHAPTER ARE WRITTEN

When new topics are written or current chapters revised, an email will be sent advising Executive Directors and Heads of Offices, Directors of Integrated Service Centers (ISCs), and all Superintendents that the new chapter or revision is available for viewing or downloading. In addition, notification will be posted on the DFO website homepage under “What’s New in DFO” as well as in the “Principal’s Weekly Newsletter.

A NEW LOOK TO SOP CHAPTERS

The Standard Operating Procedures (SOP) section of DFO’s website has taken on a new look. We have completed the process of converting all of the SOP chapters from PDF to HTML. The end user will derive the following benefits from this conversion:

* The retrieval of an SOP chapter will be immediate. No longer will you have to wait a long period of time for a file to download to your computer. 

* The ability to print an entire chapter or a section of it has been built into the system. 

* A search feature is included, which will provide easy navigation to an area of interest both within the entire section of the SOP web page, or a particular chapter.

FORMS AND EXHIBITS

All newly designed, updated or revised Forms and Exhibits incorporated into these SOP chapters/topics may be downloaded from DFO's website by clicking on the URL below. From here, you may print and distribute these forms as needed.
